General Information
S.H.E UK is a small charity based in Nottinghamshire. We specialise in offering a range of specialist support services to adult survivors of childhood sexual abuse, sexual violence and rape. Our main office is based in Mansfield, and we support survivors across the county – we support all genders (although mainly female survivors currently use our service).
Our services include our therapy service, where we offer up to two years’ worth of support to survivors, tailored to their needs. In addition, we provide immediate telephone support to our clients until they commence 1:1 therapy. These calls allow us to offer emotional (non-therapeutic) support, and signposting to assist clients with any other life challenges, and it helps clients feel cared about and connected. In addition to this, we offer a weekly female only peer group – where survivors come together to engage in our self-development educational programme (to understand more about the effects of trauma), as well as spend time developing social connections – this is affectionately known as our ‘SHE-roes lounge’. We offer long-term, holistic support and are proud of our unique approach to supporting survivors – we aim to empower people to move from merely surviving to thriving in their lives.
Due to retirement, we currently have a vacancy to join our friendly team based at our office in Mansfield – the position is part-time Office Administrator. The position is offered at 24 hours per week, at a rate of £13.90 per hour.
Key Responsibilities
Client Administration
- Client administration, such as processing information from new referrals, client assessment data, outcome measures, and client reviews.
- Client progress monitoring – liaising with staff to obtain monthly monitoring data (such as session notes, activity reports) and updating our main database records. Please note, we will be implementing a new CRM (Customer Relationship Management) database over the coming months, and this role will be integral in assisting with that, with role requirements evolving with change in processes.
- Monitor client attendance, no-shows, missed sessions, and client engagement.
Staff Administration
- Process staff DBS checks, including ID verification and renewals.
- Maintain staff records and databases, ensuring they are up to date.
- Manage staff documentation.
- Provide administrative support to staff to assist with paperwork.
Financial Administration
- Complete monthly QuickBooks and bank reconciliations.
- Record incoming cash and maintain accurate financial records.
- Prepare invoices, payment schedules, and support online banking administration.
- Monitor and chase outstanding invoices, if required.
Data Management & GDPR
- Ensure compliance with GDPR and data retention requirements.
- Securely delete, archive, scan, file, and dispose of records as required.
- Maintain accurate and confidential electronic and paper filing systems.
Office Administration – including health and safety
- Supporting the management team with a variety of administration duties, as allocated and required.
- Monitor and manage our generic inboxes – referral and general enquiry emails.
- Support day-to-day office operations and administrative processes, as required.
- Create quarterly newsletters to share with the public.
- Act as a nominated Fire Marshal, complete weekly fire safety checks and coordinate six-monthly fire drills. Arrange annual fire extinguisher servicing and gas safety inspections.
- Take and submit monthly utility meter readings.
- Monitor stock levels and maintain office, kitchen, bathroom, and therapy room supplies.
- Perform any other tasks reasonably requested that are in line with the scope and nature of the role
The post holder will report to the CEO of S.H.E. UK.
